Data Deletion Instructions

This page explains how to ask Gi Media Ltd to delete data we hold about you, and what happens after you ask. It covers both accounts on the Gimedia platform and data reached through a connected social media account.
1. Deleting data connected through Instagram or Facebook
If you connected an Instagram or Facebook account to Gimedia, you can trigger deletion from Meta directly:
- Open your Facebook or Instagram account settings.
- Go to Settings & privacy โ Apps and websites (Instagram: Settings โ Website permissions โ Apps and websites).
- Find Gimedia in the list and choose Remove.
- When prompted, tick the option to delete the information the app holds.
Meta then notifies us automatically. We erase the connection and the stored access tokens for that account, and Meta shows you a confirmation code. You can check the progress of that request at any time on our deletion status page using that code.
2. Deleting data connected through TikTok
TikTok does not currently send us an automatic deletion notice. To remove a connected TikTok account, revoke access under TikTok โ Settings and privacy โ Security and permissions โ Manage app permissions, then email us at [email protected] so we can erase the stored tokens. We confirm by reply within 30 days.
3. Deleting a Gimedia platform account
If you hold a Gimedia account (an advertiser, publisher or staff login), email [email protected] from the address registered on the account, or contact your organisation's account owner. We will confirm your identity before acting.
4. What we delete, and what we must keep
On a deletion request we erase your account record, profile details, contact history and any social access tokens we hold for you.
Some records cannot be deleted immediately because we are legally required to keep them. Invoices, payment records and tax documentation are retained for 7 years to meet HMRC requirements, and records needed to defend a legal claim are kept for as long as that claim is possible. These are retained in restricted storage and are not used for any other purpose. This is the "legal obligation" basis described in our Privacy Policy.
5. How long it takes
Automatic deletions from Meta are actioned immediately. Requests made by email are completed within 30 days, as required by the UK GDPR. If a request is complex and we need longer, we will tell you why within those 30 days.
6. Your other rights
As well as deletion (the "right to erasure"), you have the right to access a copy of your data, correct it, restrict how it is used, and object to processing. Our Privacy Policy explains each of these and how to exercise them.
If you are unhappy with how we handle your request you can complain to the Information Commissioner's Office at ico.org.uk.
